Chapter 1 / 10
Start document processing with the required outcome
AI document processing interprets file contents and moves them into a defined business workflow. Its output might be a classification, a reviewable record or a prepared task. Recognising an invoice number is not the same as posting an invoice correctly. Between the original and an effective change in the destination lie business rules, responsibilities and technical acknowledgements.
First describe what arrives and what should happen next. An invoice, a contract amendment and a delivery note need different fields and checks. Even one document class contains variants: original, copy, credit note, correction and attachment. If every file is treated as an invoice, the error begins before extraction.
A useful initial scope has a recognisable document class, an accessible destination and a responsible reviewer. Record which files intentionally fall outside it. A system that visibly routes an unfamiliar document for review performs a different, often more useful task than one that confidently classifies every file.
Agree the meaning of completion as well. A stored PDF, a prepared accounting record and a payment approval are separate outcomes. The project should make clear which one it delivers and what work remains with the team.
