For insurance brokers
AI automation for insurance brokers
In the 2021 broker barometer, brokers reported spending more than half their working time on IT and paperwork, and clearly less than half on clients (Policen Direkt). Since late 2025, software vendors have made the inbox smart. The work that sets what your portfolio sells for is still done by hand: renewals, upkeep, outreach. We automate that part.

In short
The work that sets what your portfolio sells for is still done by hand: renewals, upkeep, outreach. We automate that part. The advice and the recommendation stay yours, as § 61 VVG requires. The trial run starts at €2,500.Last updated:
The gap
The new broker-software AI sorts documents. Nobody works the portfolio.
Since November 2025, nearly every relevant vendor has shipped AI: Keasy, Assfinet, blau direkt, Smart InsurTech, VEMA. Almost all of it targets the inbox: classify, extract, summarize. The proactive work is missing everywhere: renewals, portfolio upkeep, outreach at the right moment. That is what we build.
Renewal and expiry management
The system tracks expiries and renewal dates across your whole book, drafts client letters in your firm's tone and follows up on schedule. You approve before anything goes out. The 2025/26 software wave left this work out, and it is what sets your portfolio's sale value.
Portfolio upkeep on a schedule
The system merges GDV batches, portal downloads and real interfaces into one current picture per client. Missing documents, outdated data and undocumented changes show up on a worklist, not at handover. The data exchange with insurers, which Versicherungsforen Leipzig calls the industry's efficiency killer, stops eating your week.
Client outreach at the right moment
Contract anniversaries, expiring terms and changes spotted in a client file become prepared letters in your tone, ready for you to approve. The system prepares the occasion. The advice and the recommendation stay yours, as § 61 VVG requires.
The bridge between inbox, portals and your MVP
The system classifies incoming mail and portal documents, matches them to client and contract and files them where your management system expects them. If your pool or MVP already offers inbox AI, we tell you to switch it on first. Then we build what it cannot do.
Professional law first
Built around § 61 VVG, not past it
Brokers cannot use AI the way other businesses do. A provider who does not start with that is a risk. Our setup follows §§ 60 to 63 VVG, Article 9 GDPR and the supervisory expectations EIOPA published in August 2025.
- The recommendation stays yours
- § 61 VVG requires the personal recommendation, with reasons, to come from the broker. Under § 63 you, not your software, are liable for the documentation required by § 62. Our systems prepare recommendations and documentation as drafts. They do not give advice.
- Health data, handled as Article 9 data
- Health data from private-health or disability cases is Article 9 data. It never belongs in consumer AI accounts, only in systems covered by a data processing agreement and running on EU infrastructure. And your data trains nothing.
- Disclosure built in from day one
- Since 2 August 2026, customer-facing AI must disclose that it is AI, under Art. 50 of the EU AI Act. We build this in from the start.
- Oversight by your team, as EIOPA expects
- In August 2025, EIOPA set out an expectation that is already standard in our projects: human oversight of every AI output. In Austria, § 28 MaklerG explicitly requires ongoing review of the contracts in your care. The preparation automates well; the judgment stays with the broker.

Intro call
Free
30 minutes on where your firm loses time. If AI is not the right tool, we tell you.
Trial run
from €2,500 · credited to the implementation
We find out where the hours actually go, from intake to the deadline board, and rank the use cases by payback. You get a shortlist with the expected effort, not a slide deck.
Implementation
Fixed fee, named in your proposal
We implement and test one workflow with your team, typically within two to four weeks once prerequisites are confirmed. We train your team, and your team checks and approves every draft before client data goes out.
The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow. 30 min · remote · no obligation. And if AI isn't the right tool, we'll say so.
Fair questions
What insurance brokers ask us first
01Our pool or MVP just shipped AI. Do we still need an agency?
Switch those features on first; we say so explicitly in intro calls. The 2025/26 wave covers the inbox: classifying, extracting, summarizing. No vendor ships the proactive work: renewal management, portfolio upkeep, outreach at the right moment, plus the bridge between portals and your system. If your vendor's AI already solves your bottleneck, we tell you, and you save the money.
02May client and health data go into an AI system at all?
Only under certain conditions, and our setup is built for exactly that. Health data from private-health and disability cases is Article 9 data and never belongs in consumer AI accounts. We work with a data processing agreement, EU hosting and no training on your data. Your team checks and approves everything before it reaches a client. Without these conditions, the honest answer would be no.
03Does the AI advise my clients?
No. § 61 VVG requires the personal recommendation, with reasons, to come from you, and everything we deliver respects that line. The systems collect, prepare, draft, remind and file. You advise, and you approve.
04What does this have to do with succession?
In the AfW barometer, every second broker wants succession settled within eight to nine years. What a portfolio sells for depends on its condition: current data, documented advice, renewals handled. Every hour of portfolio care you automate pays twice: once in daily operations and once at sale.
05What does it cost?
The trial run starts at €2,500. If you go ahead, we credit it in full against the implementation. If we advise against automating in writing, we refund the fee. The implementation gets its own fixed-fee quote. For market context, our blog shows what AI automation actually costs, with sources. The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts.
