AI automation for hotels

Around 44 percent of an independent hotel's bookings arrive by phone, email and contact form, and your staff turn each one into an offer by hand (HOTREC distribution study). Since November 2024, Booking.com's gatekeeper designation bans rate-parity clauses, so your own website may legally undercut the portal everywhere. Direct bookings finally pay off, as long as inquiries stop eating staff time, now that the minimum wage rose 8.4 percent in January 2026.

In short

Around 44 percent of an independent hotel's bookings arrive by phone, email and contact form, and your staff turn each one into an offer by hand (HOTREC distribution study). The system structures inquiries from email, form and phone, checks them against availability and pricing, and prepares a finished offer draft in your hotel's tone. Your team checks and approves before anything goes out. The trial run starts at €2,500.Last updated:

The gap

Online booking brings about 12 percent of nights. Around 44 percent of bookings are still handled by hand.

Channel managers and booking engines handle real-time bookings: 11.9 percent of an independent hotel's nights. Phone, email and contact form bring in around 44 percent, and no dominant product on the market turns those inquiries into a finished offer end-to-end today. That is what we build, in your hotel's tone. Your team checks and approves.

From inquiry to offer draft

The system structures inquiries from email, form and phone, checks them against availability and pricing, and prepares a finished offer draft in your hotel's tone. Your team checks and approves before anything goes out. That is the 44 percent, and every booking it wins back for your own channel also saves the portal commission.

  • Review replies as a routine

For 68 percent of online bookers, other travelers' reviews are decisive (Bitkom, survey in Germany). Replies often get postponed. The system drafts a reply to each review in your hotel's tone, ready for approval, and the task becomes a ten-minute routine.

  • No-show and cancellation sequences

42 percent of Booking.com booking volume gets cancelled, compared with 18 percent for direct bookings (D-EDGE). Automatic confirmations and reminders with deposit rules reduce both no-shows and cancellations. That is one more reason to win direct bookings.

  • Phone inquiries

In restaurants, AI reservation assistants are already mature products you can set up yourself; hotels are next. The system captures and structures phone inquiries instead of leaving them on a notepad. The reservation platform Quandoo has announced it will shut down by the end of 2026, so thousands of businesses have to rethink their phone and reservation setup anyway.

Guardrails

Built in from the start, not added later

None of this is a hurdle if you plan for it from the start. All of it becomes a trap if the provider stays silent about it. These four points are in every proposal we write.

AI that says it is AI
Since 2 August 2026, the disclosure duty of Art. 50 EU AI Act applies: chat and voice assistants must identify themselves as AI at the latest at the first interaction. We build this in from day one, so nothing needs retrofitting.
Call recording only with consent
Recording guest calls generally requires the guest's consent under the GDPR, in Austria as in Germany. We build consent and its documentation into the call flow, so no lawyer finds a gap later.
A data processing agreement, EU processing
The AI provider is bound by a data processing agreement, with processing in the EU, and guest data trains no models. What runs through the system stays in your accounts.
Registration forms, the digital way
Since 2025, Germany no longer requires registration forms for domestic guests. Foreign guests still sign, and the law explicitly provides a digital way to do so. In Austria the electronic guest register is permitted, with seven years of retention. Legally, the check-in paper stack is already gone. We make it disappear in daily practice too.

How it starts

Same steps, scoped to your business

  1. Intro call

    Free

30 minutes on where your business loses time. If AI is not the right tool, we tell you.

  2. Trial run

from €2,500 · credited to the implementation

We map where the hours actually go and rank the tasks by payback. You get a short list with the expected effort, not a slide deck.

  3. Implementation

Fixed fee, named in your proposal

We implement and test one workflow with your team, typically within two to four weeks once prerequisites are confirmed. We train your team, and your team checks and approves before customer data leaves a draft.

The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow. 30 min · remote · no obligation. And if AI isn't the right tool, we'll say so.

Fair questions

What hotels ask us first

01Does this replace staff?

No, and the industry's problem has turned around anyway. In Austria, staff costs in holiday hotels rose by 5 to 7 percent in every category according to the Fitness-Check 2025, and the collective agreement adds 3 percent on average from October 2026. In Germany, per DEHOGA, 85.4 percent of businesses name personnel costs as their top worry, with labor costs up 39.6 percent compared with 2019. This is not about replacing people you cannot find. It is about affording your service level with the team you have.

02We already run a booking engine and a channel manager. Does this replace them?

No. They keep handling real-time bookings. We automate the manual work in front of them: the phone, email and form inquiries that make up around 44 percent of an independent hotel's bookings. No dominant product turns these into finished offers end-to-end today.

03May we really be cheaper on our own website than on Booking.com?

Yes, since November 2024. Booking.com has gatekeeper status under the Digital Markets Act, so rate-parity clauses are banned EU-wide. Base commissions are 12 to 15 percent, often effectively 22 to 28 percent once the Preferred program and Genius discounts are added. Every booking that moves to your own channel is worth real money, as long as answering it takes minutes, not hours.

04What about the AI Act and recorded calls?

Since 2 August 2026, assistants must disclose that they are AI under Art. 50 EU AI Act. Recording calls generally requires consent. And the AI provider belongs under a data processing agreement with EU processing. We build all three in from the start. A provider who does not mention them is the real risk.

05What does it cost?

The trial run starts at €2,500. If you go ahead, we credit it in full against the implementation. If we advise against automating in writing, we refund the fee. The implementation gets its own fixed-fee quote. On our blog we explain, with sources, what AI automation actually costs. The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow.
