What we automate
AI automation for Irish offices, under the same EU rules
Calls, emails, documents and internal questions are the same everywhere. What makes Ireland simple for us is the shared legal framework; what still needs checking is your software and how your customers expect to be addressed.
Inbox and customer enquiries
The shared inbox is sorted, enquiries are matched to the customer and replies are drafted for your team to approve.
Your software, not ours
Your CRM, your industry software, your accounting package such as Sage, Xero or Big Red Cloud: we look at what it already automates before adding anything. Whether an interface or an import fits your subscription, we check in the project. We do not promise a finished integration.
Phone and appointments
An AI phone assistant takes the call and records the request. Which bookings it may make on its own is agreed with you beforehand, and it hands over to a person in the situations you define. We check the availability of Irish numbers and test with your own call scenarios how it copes with accents and place names.
Internal knowledge
An assistant that answers staff questions from your own documents and shows the source, so a new colleague does not have to ask the same person every time.
Irish conventions in every text
Drafts for customers use the spelling and conventions your customers expect: British-Irish spelling, day-month-year dates, euro amounts, Eircodes in addresses.
Law and data protection
One legal framework on both sides
Both companies are in the EU and share its framework, the GDPR and the EU AI Act. We document each party's role and the obligations that follow for the workflow. Your supervisory authority is the Data Protection Commission, ours is the Austrian Data Protection Authority.
- Between Ireland and Austria
- Processing between Ireland and Austria is not itself a third-country transfer under the GDPR. Providers, processing locations and any third-country transfers are documented before personal data is used. Client data is processed on EU infrastructure by default; on-premise hosting is available where required.
- Data processing agreement
- A data processing agreement under Article 28 GDPR is signed before real data is used. It comes with a written overview of where each processing step runs and which providers are involved.
- EU AI Act
- For assistants that talk to customers, disclosure that it is an AI and handover to a person are agreed and tested. The AI Act guide explains the role and context questions that apply to an SME.
- Contract partner
- Your contract is with RovAI GmbH, registered in the Austrian company register under FN 666983 h. Prices and invoices are in euros.
How we work together
Three steps, all of them remote
Intro call
Free
30 minutes by video on where your team loses time and which software you use. If AI is not the right tool, we say so.
Trial run
from €2,500 · credited in full if you proceed
We test one workflow with your data and your software. If we advise against automating in writing, we refund the fee.
Implementation
Fixed fee per proposal · care from €250 per month, cancellable monthly
The workflow is built for your setup and your team is trained on it. Monthly care covers monitoring and adjustments.
The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow. 30 min · remote · no obligation. And if AI isn't the right tool, we'll say so.
Fair questions
Questions about working with us
01Do you have an office in Ireland?
No. RovAI GmbH is based in Oberwaltersdorf in Lower Austria, about 30 km south of Vienna, one hour ahead of Irish time. We offer companies in Ireland remote delivery, in English.
02Can we use the Grow Digital Voucher?
The Local Enterprise Offices describe the Grow Digital Voucher as 50% of eligible costs, from €500 up to €5,000, for small enterprises with 1 to 50 paid employees that completed a Digital for Business project in the previous two years and are not clients of Enterprise Ireland or IDA. It is aimed at new off-the-shelf software; custom or bespoke software is not eligible, so automation built for your business may not qualify. Whether a specific project qualifies is decided by your Local Enterprise Office; do not budget an unconfirmed grant into the project.
03Which software do you connect to?
The software you already use: email, calendar, CRM, industry software or accounting packages such as Sage, Xero or Big Red Cloud. We check the connection in the project. It depends on the package, your subscription and what the software already automates. You know before you commission the implementation.
04Does buying from an Austrian company complicate things?
Both countries are in the EU and use the euro. The data processing agreement, the fixed-fee proposal and the invoice come from RovAI GmbH. How VAT applies to a service bought from another EU country is a question for your accountant.
