What we automate
AI automation that fits how UK businesses work
Calls, emails, documents and internal questions are the same in every industry. The software, the tax calendar and the data-protection regime are British, and the solution has to reflect that.
Enquiries, phone and inbox
New emails sorted with draft replies, an AI phone assistant that takes calls and books appointments, enquiries entered in your CRM. For a phone assistant, UK number availability and call handover are tested against your own call scenarios. Your team approves what goes out.
British English in every text
Drafts for customers use the spelling and conventions your customers expect: British spelling, day-month-year dates, pounds and pence, VAT rather than sales tax.
Your software, not ours
Your CRM, your industry software, your accounting package such as Xero, Sage or QuickBooks: we look at what it already automates before adding anything. Whether an interface or an import fits your subscription, we check in the project. We do not promise a finished integration.
Quarterly records under Making Tax Digital
Since 6 April 2026, sole traders and landlords whose qualifying income (gross self-employment and property income, before expenses) was over £50,000 in the 2024 to 2025 tax year keep digital records and send quarterly updates through compatible software, unless an exemption applies. The threshold falls to £30,000 from April 2027 and £20,000 from April 2028. For the businesses affected, and for whoever keeps their books, that means more documents to collect, four times a year. Chasing and matching them is the kind of work we automate; the submission stays in your compatible software.
A person signs off
Every system that sends anything to a customer or acts on client data includes a human sign-off step by default. That is how we build everywhere, and it matters under the UK rules on automated decisions as well.
Law and data protection
UK GDPR, the ICO and data moving to the EU
The UK has its own data-protection regime: UK GDPR and the Data Protection Act 2018, supervised by the Information Commissioner's Office (ICO). The EU AI Act is not UK law. We assess which UK and EU requirements apply to each party and to the specific processing.
- Data between the UK and the EU
- As an Austrian company we process your data under the EU GDPR. The European Commission renewed its adequacy decisions for the UK on 19 December 2025; they run until 27 December 2031. Which transfer rules apply to your workflow, in both directions, is documented before production data is used.
- Automated decisions
- The Data (Use and Access) Act 2025 amended the UK GDPR rules for solely automated decisions with legal or similarly significant effects from 5 February 2026, introducing safeguards while keeping restrictions for special-category data. The ICO is clear that human involvement has to be genuine. Our workflows provide for review and approval by a responsible person, and we document where that happens.
- Data processing agreement
- A data processing agreement is signed before real data is used. It comes with a written overview of where each processing step runs and which providers are involved.
- Contract partner
- Your contract is with RovAI GmbH, registered in the Austrian company register under FN 666983 h. Client data is processed on EU infrastructure by default; on-premise hosting is available where required.

Fair questions
Questions about working with us
01Do you have an office in the UK?
No. RovAI GmbH is based in Oberwaltersdorf in Lower Austria, about 30 km south of Vienna, one hour ahead of UK time. We offer companies in the UK remote delivery, in English.
02Which software do you connect to?
The software you already use: email, calendar, CRM, industry software or accounting packages such as Xero, Sage or QuickBooks. We check the connection in the project. It depends on your subscription and on what the software already automates. You know before you commission the implementation.
03Are your prices in pounds?
Prices are quoted in euros and the invoice comes from an Austrian company. How VAT applies to a service bought from the EU is a question for your accountant. The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow. Read the article with the cost examples. Calculate with your own numbers.
04Does the EU AI Act apply to us?
The EU AI Act is not UK law. It can become relevant where a UK company uses an AI system whose output is used in the EU, for example with customers there. We check that for the specific workflow.
05What does it cost?
The intro call is free. The trial run starts at €2,500 and is credited in full if you proceed; if we advise against automating in writing, we refund it. Implementation is a fixed fee per proposal, monthly care can be cancelled.
