Automated document processing costs include implementation, software, human review and operation. An OCR price per page describes only part of the process. Calculate cost per completed business transaction and compare equivalent work: intake, recognition, correction, approval and acknowledged handoff.

Key takeaways

  • Document-processing costs include implementation, software, human review and operation; an OCR price per page describes only part of the process.
  • Record file, page and transaction counts separately, because providers can charge for pages, documents, processing steps or subscription allowances.
  • In the synthetic example, increasing exceptions from 200 to 400 adds EUR 400 a month, while two cents less per invoice saves only EUR 20.
  • Base the purchase decision on first-year total cost, ongoing cost per completed case and demonstrably released working time.

Why separate pages, documents and business transactions?

Units differ. One invoice may contain five pages. One file may contain several invoices. A single transaction may also include a delivery note and purchase order. Providers can charge for pages, documents, processing steps or subscription allowances. Without distinguishing these units, apparently similar quotations cannot be compared.

Count separately. For a representative month, record file, page and transaction counts separately. Include peak periods, repeated submissions and the proportion of structured electronic invoices. Structured data should not automatically follow the same OCR route as image scans. Blank pages and supporting attachments can also affect billing.

Define the outcome. Define the intended outcome: searchable text, validated fields, an approved record or a completed import. A low-cost text-recognition service and a managed invoice workflow provide different results. Compare options against the result your team needs.

Google Document AI pricing example: parser charges before review and integration

The following selection was checked against Google's official pricing page on 26 September 2026. It illustrates billing units rather than complete project costs and is not a product recommendation. These are published USD list figures before individual discounts; local billing and tax treatment require separate checking.

Service Published reference price Billing unit
Form Parser USD 30 per 1,000 pages in the first volume band Pages
Layout Parser USD 10 per 1,000 pages Pages
Invoice Parser USD 0.10 for up to ten pages per document Started ten-page blocks per document
Custom processor hosting USD 0.05 per hour Deployed time

Other cloud services can add charges. A parser price is therefore not the total workflow price. Official Google Document AI pricing.

For 1,000 invoices of two pages each, the cited Invoice Parser tariff produces 1,000 billable document blocks, or USD 100 in parser charges. This is arithmetic based on the published tariff. It excludes implementation, storage, integration and review.

What does a complete cost formula include?

The complete cost of document processing is calculated with two formulas:

  • Monthly cost = fixed operation + variable processing + review labour + error handling
  • Cost per completed transaction = monthly cost ÷ successfully completed business transactions

Failed and repeated processing must remain in the cost calculation.

Implementation and first-year costs

Track implementation separately. Typical categories are process discovery, data cleanup, interface assessment, mapping, acceptance, training and operational handover. Spread these costs across months only when you state that assumption explicitly. A monthly comparison excluding implementation can describe ongoing operation, but it does not describe first-year ownership cost.

Use an agreed fully loaded labour rate for internal time. Check whether saved minutes create usable capacity. Less typing does not automatically reduce payroll costs; it may instead enable more accounting review or faster completion.

Synthetic calculation including human review

All euro figures below are invented planning assumptions, not a quotation. A team handles 1,000 invoices each month. Its existing process takes four minutes per invoice at EUR 40 per working hour. That produces approximately EUR 2,667 in monthly processing labour.

Assume the proposed process has these costs:

Cost category Calculation Monthly cost
Software and infrastructure Assumed fixed charge EUR 180
Variable processing 1,000 × EUR 0.08 EUR 80
Routine visual review 1,000 × 0.5 minutes × EUR 40/hour EUR 333
Additional exception work 200 × 3 minutes × EUR 40/hour EUR 400
Operational support Two hours × EUR 40 EUR 80
Total Rounded EUR 1,073

Result. Under these assumptions, the monthly difference is approximately EUR 1,594. A EUR 6,000 implementation would be recovered after about 3.8 months. This does not establish an achievable automation rate. It identifies the assumptions the pilot needs to measure.

Review versus exceptions. Routine review and exception work are separate here: the 200 difficult cases need three additional minutes beyond the general half-minute review. If your measurements already capture total time for an exception, avoid adding the routine time twice.

Equivalent scope. The comparison also assumes the old four-minute measure covers equivalent work. If it includes payment approval while the new process excludes it, the apparent saving is overstated. Align the start and finish points before presenting a business case.

How sensitive is the calculation to exceptions and volume?

Exception rate versus API price

Increasing exceptions from 200 to 400 in this example adds EUR 400 a month. Reducing API cost by two cents per invoice saves only EUR 20. Better input quality can therefore matter more economically than a small model-price difference.

Volume scenarios

Calculate at least a low-volume case, expected month and peak month. Vary review time, exception frequency and support effort. This reveals whether the proposal works only under ideal conditions or remains useful in a difficult period.

Supplier charges to check

Check seven charge items in a document-processing quotation:

  • minimum terms
  • included usage
  • overage
  • repeat processing
  • export
  • support
  • change charges

An inexpensive allowance can become costly when every corrected submission is charged again or required interfaces are separate. Ask suppliers to calculate their billing using your actual document mix.

Switching cost

Include the exit scenario. Determine how original documents, extracted fields, decisions and mappings can be recovered, and what work is needed to reconnect another provider. Switching cost belongs in the decision even when it is not part of the first month's invoice.

Which evidence must the pilot provide?

Measure intake volume, completed cases, correction time, exception reason and operating effort. Include difficult documents rather than only successful samples. Check whether the proposed process moves clarification or search work to another employee; that remains part of total effort.

Base the purchase decision on first-year total cost, ongoing cost per completed case and demonstrably released working time. Add practical requirements such as traceability and completion deadlines. The result is a calculation whose assumptions you can inspect and replace with your own evidence.
