Key takeaways
- Start with a complete data-flow map: which originals, extracted text and logs are created, where they are processed and who can access them.
- Processing often creates previews, OCR text, structured fields, tasks, messages and diagnostic logs alongside the original, so a deletion rule covering only the source PDF is incomplete.
- Check provider answers for the chosen plan, API and region; “not used for model training” and “not stored” are different properties.
- Test deletion with an approved sample case and search storage, indexes, review queues and integration records for remaining copies.

Which data does a document create on its way through the workflow?
Follow one document. Follow a representative document from mailbox to destination system. Processing often creates previews, OCR text, structured fields, tasks, messages and diagnostic logs alongside the original. Any of these can contain personal information. A deletion rule covering only the source PDF is therefore incomplete.
Record each transfer. For each transfer, record the sending and receiving system, its purpose and how long the resulting copy is needed. Include administrator access, support arrangements and backups. Data movement remains relevant even when users see what appears to be one application.
A useful data-flow inventory for document processing has six columns:
- data object
- purpose
- location
- authorised role
- provider
- deletion trigger
Describe actual operation. Missing answers are actions for the responsible people, not gaps to fill with broad vendor marketing statements.
Test data
Also record how test data is selected. A production invoice copied into a demonstration account creates another processing context. Prefer synthetic or appropriately prepared examples until the intended test environment and access arrangements have been approved.

Austria and Germany: the GDPR as a shared framework
Principles and articles. Within its scope, the GDPR establishes principles including purpose limitation, data minimisation and storage limitation. Other relevant checks include lawful basis, processors, security and, where applicable, international transfers or a data-protection impact assessment. Articles 5, 6, 28, 32, 35 and 44 onwards are key references. Official GDPR text.
No universal legal basis. There is no universal legal basis for every OCR project. An accounting invoice, employee file and medical document have different purposes and risks. The responsible organisation must assess its circumstances. Consent is not a general substitute for that analysis.
Involve specialists early. Involve the business owner and privacy specialists early. Special-category information and professional confidentiality can introduce additional requirements. This guide supports technical and organisational preparation; it does not certify an individual processing arrangement as lawful.

Switzerland: assess the applicable Swiss requirements
Swiss law applies to AI. Swiss data-protection law applies to AI-supported personal-data processing. The federal authority states this explicitly. FDPIC: AI and data protection. Do not assume German terminology or a GDPR checklist provides a complete Swiss assessment.
Outsourcing keeps responsibility. The authority also explains that outsourcing to a cloud provider does not simply transfer the customer's responsibility to that provider. FDPIC cloud guidance. Establish the actual processing scope and all involved providers. Cross-border activities may require consideration of more than one framework.
The same practical transparency. Swiss businesses should request the same practical transparency: which data leaves their environment, who can inspect it and how access, correction and deletion requests are supported. The legal assessment depends on the circumstances rather than the country associated with a product name.

Which questions should you ask OCR, AI and integration providers?
Check the answers for the chosen plan, API and region. A statement about an enterprise service does not automatically apply to the same provider's free chat account. “Not used for model training” and “not stored” are also different properties.
These six questions help assess an OCR, AI or integration provider, each with the evidence to request:
| Area | Specific question | Useful evidence |
|---|---|---|
| Purpose | Are documents used only for the commissioned processing? | Terms for the service actually used |
| Subprocessors | Who receives originals, text or metadata? | Current list and change procedure |
| Operation | Can support personnel inspect documents? | Access and support process |
| Storage | Which temporary copies and logs remain? | Documented retention and settings |
| Exit | How are records exported and then deleted? | Procedure covering backups |
| Incidents | How are security incidents communicated? | Contacts and contractual process |
Translate promises into settings and evidence. If temporary retention is configurable, record its selected value. If support access requires customer approval, establish who can approve it and how that access is recorded. This makes the assessment operationally useful.

Synthetic example: an invoice flow with unnecessary copies
First design. A business wants to extract invoices from a shared mailbox. Its first design synchronises the entire mailbox, sends PDFs to a recognition service and saves complete responses in diagnostic logs. A general team channel also receives document copies for review.
Revised design. The revised design limits intake to the invoice mailbox. It transfers only the necessary attachments and a reference to the message. Reviewers follow a link to controlled storage rather than receiving another copy in a broadly accessible channel. Diagnostics contain status and case identifiers; source content is exposed only for a justified and limited troubleshooting task.
What the example shows. This invented example demonstrates data minimisation through practical design choices. It does not establish complete legal compliance. The remaining processing still needs justification, appropriate contractual treatment and protection. Fewer copies do, however, make access review and later deletion easier.

How do you coordinate retention and deletion?
Different objects. Different objects need different treatment. A business original retained for accounting, a short-lived model response and a diagnostic log have different purposes. Define the deletion or retention trigger and responsible owner for each. Applicable recordkeeping duties and particular preservation requirements need professional assessment.
Test deletion. Test deletion with an approved sample case. Then search storage, indexes, review queues and integration records for remaining copies. Document how backups are handled and how restored data becomes subject to the intended rules again. A delete button does not prove the complete processing chain is covered.
Before launch. Before launch, approve the data flow, responsibilities, contracts, roles and deletion rules. Revisit them when adding a model, provider or document category. Privacy then becomes a verifiable part of operation that stays aligned with the real workflow.
