Key takeaways
- The PMS remains the authoritative source for reservation state and stay details; an email or an AI conversation history should not become a second reservation database.
- Housekeeping needs separate states for a task that is created, accepted, completed and, where required, inspected.
- Start with one property, one incoming channel and one clearly named request type, and test it against realistic cases.
For an individual hotel, start with a bounded process such as pre-arrival requests that require coordination between reception and housekeeping. Add further actions once reservation data, room status and shift handovers work reliably together. This guide covers those operational workflows. Local guest-registration requirements, payment processing and contractual conditions need their own assessment.

Which hotel workflows have a verifiable outcome?
The following table shows three hotel workflows, the preparation that can be automated in each and what must be established before the hotel makes a promise.
| Workflow | Preparation that can be automated | What must be established before a promise |
|---|---|---|
| Pre-arrival message | Identify the stay, capture the request, ask for missing information | Correct reservation, current state and responsible person |
| Room-related task | Connect the report to a room, route the task, collect the response | Work actually completed and, where required, checked |
| Invoice query | Connect the document to the stay and flag inconsistent details | Review by the authorised team before changing amounts or recipients |
The common requirement is accurate matching. “The Berger family arrives tomorrow” is not an unambiguous instruction across multiple properties or guests with the same surname. Use the reservation identifier together with the property. A guest profile can contain several stays, while a room assignment can change before arrival. If the match is uncertain, reception must be able to resolve it before another booking is modified.

Which hotel system is authoritative for reservations?
Choose the source that controls each type of information: reservation state and stay details in the PMS, completed room work in the designated operational system, and approved hotel information in a maintained knowledge source. An email or an AI conversation history should not become a second reservation database.
The official Mews reservation documentation illustrates the distinctions: reservation identifiers, states, assigned resources, and scheduled and actual stay times are separate fields. The supplier still needs to confirm which fields and operations your specific account can access. Documentation checked on 26 September 2026.
The connection also needs reliable acknowledgement. Sending a task to an interface does not prove the destination accepted it. If the result is uncertain, staff should see the unresolved case and investigate. An automatic retry must not create another reservation, duplicate task or second guest message.

Worked example: early arrival does not mean a ready room
Initial situation
Synthetic example, not a customer implementation: At 09:00, a guest writes that they would like to arrive at 11:00. Their reservation is confirmed for today, but the assigned room is still occupied. The workflow identifies the booking and records the early-arrival request. An appropriate initial response acknowledges that request and provides only the hotel's already approved general information.
How the request is handled
Housekeeping does not receive an instruction to check the guest in immediately. Instead, the request goes to the person responsible for prioritising the work. Reception checks available alternatives and any applicable conditions. A later “cleaned” status does not automatically replace every operational check: readiness for handover follows the hotel's defined process.
A specific message offering earlier access is prepared only after the decision is confirmed. The workflow reads the reservation again before sending it. If the stay has meanwhile moved to tomorrow, the old draft is discarded or reviewed afresh. The message must reflect the approved decision without adding a time that merely seems plausible.
What counts as success
The test succeeds when the guest receives accurate information, reception knows the current handling status and housekeeping receives no contradictory tasks. A fast but incorrect promise is explicitly a failure, even if the software reports successful delivery of the message.

Housekeeping needs its own operational states
Separate “task created”, “accepted”, “completed” and any required inspection. A blocked resource is also different from a room awaiting cleaning. An apparently empty calendar slot tells staff little about those distinctions.
Mews describes resource mapping, room-state updates and separate resource blocks in its official housekeeping integration guidance. These documented operations do not prove that your housekeeping application already has a working connection. Ask the supplier to demonstrate the exact read, write and acknowledgement sequence needed for your workflow.
A small introduction can use a simple operational table: room identifier, task, responsible department, required time and confirmed completion. Free text can provide context, but should not hide different meanings of status. “All fine”, for example, is ambiguous if it might refer to cleaning, a technical repair or release of the room for use.

Give guest communication limited authority
What AI may prepare. AI in hospitality can summarise requests, translate messages and prepare replies from approved information. Maintained hotel information may be sufficient for opening hours, directions and contact options. An individual reservation change, price adjustment or refund requires the current case and appropriate authority.
Who sees which information. Sensitive guest requests should appear only where they are needed for the work. Housekeeping may need a specific task without needing the entire booking history and invoice correspondence. Decide which information the AI processes, where drafts are stored and which roles can read them during another shift.
Translation. Names, dates, amounts and room categories remain checkable fields during translation. Polite wording must not introduce a new service commitment. If a message concerns a complaint or an exception to house rules, pass its original wording to the responsible person alongside any summary.
Recurring questions. This distinction also helps with recurring questions. A fixed answer can explain the usual process, while an individual exception stays visibly pending. Guests should not have to infer from a long, friendly message whether the hotel actually approved their request.

How do you plan for shift changes, cancellations and outages?
Shift changes
A request should not exist only in one employee's personal inbox. The next shift needs to see the issue, the last confirmed state, the outstanding decision and the responsible role. A reminder without those details creates another round of questions.
Cancellations
When a reservation is cancelled, linked tasks need review. A scheduled arrival message should stop, while a technical fault reported against a room may remain relevant. Cancellation therefore does not mean blindly deleting every connected record or treating every associated task as finished.
Outages
If the PMS or messaging service is unavailable, staff need a clear view of unresolved work and a defined manual procedure. After recovery, reconcile cases handled manually. The automation must neither resend messages that already went out nor reopen requests that the reception team has resolved.
07 / 08
How do you accept a bounded pilot against realistic cases?
Scope and test cases. Choose one property, one incoming channel and one clearly named request type. Test ordinary requests alongside identical guest names, changed travel dates, room moves, duplicate messages, blocked rooms and an outage during sending. Specify the correct recipient and permitted action before running each test.
Measurement. Then measure active handling time, follow-up questions, unresolved cases at shift handover and inaccurate promises. Include season, occupancy and request type in comparisons. A quiet week is not evidence that the workflow works equally well on a fully booked weekend. More automatically answered messages are useful only when the operational work behind those answers is correct.
Initial assessment. For an initial assessment, bring an anonymised pre-arrival case, the systems involved and the decision that currently gets stuck between shifts. Those inputs are enough to define a hotel automation pilot with an outcome that staff can verify.
