AI appointment scheduling

Appointment requests answered. Bookings saved in your calendar.

A caller who reaches nobody calls the next company on the list. The AI takes appointment requests by phone, email or web form, offers only permitted slots and books them in your calendar. The customer gets a confirmation only after the calendar has saved the appointment. Exceptions go to your team.

In short

The AI takes appointment requests by phone, email or web form, offers only permitted slots and books them in your calendar. A free slot in the calendar is not yet a reservation. We connect Outlook, Google Calendar or an existing booking system, and decide first which one is authoritative. The written proposal and terms govern scope, credit and any refund.

What we automate

Define the booking rules before the first request

A free slot in the calendar is not yet a reservation. Availability can change between offering a slot and saving it. Booking works when access, rules and the saved calendar entry fit together.

One authoritative calendar

We connect Outlook, Google Calendar or an existing booking system, and decide first which one is authoritative. If a booking application such as Microsoft Bookings already controls capacity, a second process must not bypass its rules.

  • Appointment types as rules

Each appointment type has a duration, buffers, notice, a working window, a location and the people or rooms it needs. The model does not guess these rules from general knowledge.

  • Phone, email and web form

The AI phone assistant books during the call. For email requests, the AI proposes slots in a reply draft that your team checks and sends. Requests from a web form follow the same booking rules.

  • Double bookings designed out

Two callers can choose the same slot. A recheck alone does not stop two requests that pass it at the same moment, so one central booking layer coordinates the writes for each slot, or a booking system with its own reservation control decides. Manual entries in the same calendar are part of the test, and a retry after a timeout first checks whether the appointment already exists.

  • Rescheduling and cancellation

Who may move or cancel, which deadline applies and which resource is released are agreed rules. A name or a phone number alone can match several appointments.

  • A confirmation that is true

The customer hears a definite booking only after the calendar saved the event. If a room approval is still pending, the assistant describes the result as a request.

Calendar access and data

Access to the calendar, limited to the task

A booking needs less information than a full calendar. Access is granted for the task, not for every calendar detail by default.

Narrow calendar permissions
We agree with your administrator which calendars the integration reads and writes, and whether it acts for a user or through application permissions. A personal Outlook account does not support every availability lookup that a business account does.
Minimal calendar entries
Subjects stay factual and descriptions short. A full call transcript does not belong in a calendar that several people see.
Identity before changes
Moving or cancelling an appointment needs the agreed verification route. A reference number by itself does not prove that the person may change the appointment.
AI Act transparency
Where the assistant talks to customers, it says that it is an AI. A route to a person stays available.

How it starts

From one appointment type to a working booking flow

  1. Intro call

    Free

We look at your appointment types, calendars and the channels where requests arrive. If AI is not the right tool, we tell you.

  2. Trial run

from €2,500 · credited towards implementation

We define the booking rules and test them with real cases, including two callers for one slot, an interrupted connection and a corrected email address. The written proposal and terms govern scope, credit and any refund.

  3. Implementation and care

One workflow about €3,000 to €5,000 · care from €250 per month per workflow

Fixed fee in your proposal before work starts. In monthly care we run the workflow, fix errors and adapt the booking rules as your services change.

The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow. 30 min · remote · no obligation. And if AI isn't the right tool, we'll say so.

Questions about AI appointment scheduling

01Does the AI book directly in Outlook or Google Calendar?

Yes, if the account type and the permissions allow the required operations. We check this in your own tenant or account, not only with a supplier's demonstration user.

02What happens if two customers want the same slot?

One central booking layer coordinates competing requests for the same slot, or a booking system with its own reservation control decides. The second customer is offered other options and must accept one. The assistant does not silently book a different time. Where people also edit the calendar by hand, we agree how those entries are handled.

03Can customers move or cancel appointments?

Only within the rules you set and after the agreed verification. Recurring appointments are automated only where one occurrence and the whole series are distinguished and tested.

04We already use a booking system. Do we need a new one?

No. If an existing booking system controls capacity, it stays authoritative. We check whether it offers a supported interface, and the phone or email intake connects to it instead of writing to calendars around it.

05What does appointment scheduling cost?

The trial run starts at €2,500 and is credited towards the implementation. Software, telephony, hosting and ongoing care are quoted separately. The implementation of one contained workflow costs about €3,000 to €5,000. Projects with several processes and systems cost more, and the fixed fee is in your proposal before work starts. Ongoing care starts at €250 per month per workflow. See all prices. Read the article with the cost examples. Calculate with your own numbers.
