This guide proposes an integration for inbound calls. Official HubSpot and Pipedrive documentation, checked on 26 September 2026, provides technical examples. It does not establish that every phone assistant has a ready-made connection to either product; the exact supported actions must be verified with the chosen supplier.
Key takeaways
The main points for connecting an AI phone assistant to a CRM are:
- The record needs confirmed contact details, the request, an owner, a status and evidence that delivery succeeded.
- Finding a contact is not identity verification: even a unique match does not automatically authorise disclosure.
- Redelivering an event from the same conversation should not create the same task twice, while a second call may contain new information.
- A timeout does not necessarily mean the CRM saved nothing, so the process needs a state between failed and confirmed.

Which CRM record should a phone call create?
A call to an AI phone assistant might produce these CRM records:
- a conversation note
- a callback task
- a service ticket
- a sales opportunity
Choose the object through the work that follows. A callback usually needs an owner and due date; unstructured text buried in a contact history is easy to overlook.
Do not create a sales opportunity for every caller. Existing customers, suppliers and wrong numbers do not automatically belong in the sales pipeline. Define the conditions under which an enquiry becomes a qualified next step.
HubSpot exposes tasks as objects with properties and associations. Its official task creation reference describes creation and the returned object identifier. Pipedrive uses activities for work such as callbacks; the official activity reference describes assignment and links to other records.

Why is finding a contact not identity verification?
Lookup. Normalise telephone numbers for lookup while retaining the original input where needed for traceability. Ask whether the recognised number is the desired callback contact. Someone may call from a switchboard, household phone or another person's device.
No match, one or several. A search can return no match, one match or several. With no match, the approved process might create a contact or an unassigned enquiry. With several matches, preserve the ambiguity and use a review path. The first search result is not a safe default decision.
A match is not authorisation. Even a unique match does not automatically authorise disclosure. Associating a callback request and releasing confidential account information are separate steps. Define verification according to the action the assistant is actually allowed to perform.
International formats. Consider what the system does when number formats differ across European countries, including the UK. Normalisation can improve matching, but it must not manufacture missing country information from an unreliable guess. Ambiguous numbers should be confirmed.
03 / 13
Which fields belong in the handover format?
Define the fields staff need before building the connection. The format should represent missing and uncertain information directly. Invented values make a technically complete record less useful.
The table lists eight fields of a proposed handover format between phone assistant and CRM, with an example and the rule for each.
| Field | Example | Rule |
|---|---|---|
| Conversation identifier | Unique internal reference | Recognise repeated delivery |
| Request | Question about delivery timing | Concise factual summary |
| Contact state | Unique, unknown or ambiguous | Preserve uncertainty |
| Callback number | Number confirmed by caller | Separate from unconfirmed caller ID |
| Business reference | Stated order number | Store verification outcome separately |
| Owner | Service team | Valid owner or managed queue |
| Timing | Agreed deadline or pending scheduling | Distinguish preference from commitment |
| Delivery state | Confirmed or awaiting reconciliation | Derive success from destination result |
This is a proposed business schema, not a ready-to-run API payload. Map it to the actual field types and allowed values in your CRM. Owner identifiers and relationship types are especially product-specific.
Specify which fields are required for creation and which may remain unresolved. A caller without an order number may still have a valid enquiry. The workflow should preserve the request without misrepresenting an unknown reference as verified.

What should you verify when creating callback tasks in HubSpot and Pipedrive?
HubSpot. In HubSpot, determine which task properties and association types the workflow requires. A successful creation request returns an identifier; the task must then appear against the right contact and for the intended owner. Do not copy a sample identifier from documentation into your own environment.
Pipedrive. In Pipedrive, check activity type, assigned user, due date and relationship to a person, organisation, lead or deal. Its user documentation for activities provides the operational context. Pay particular attention to whether text becomes an internal note or an invitation or description visible to someone else.
Record and effect. Both products distinguish a stored record from its operational effect. An activity without a valid owner can remain unprocessed. An invitation sent to a misheard email address can create an unwanted side effect. Acceptance should therefore include the recipient's view.
Third-party connectors. If the integration runs through a third-party connector, inspect its field coverage. The underlying API may support a property the connector does not expose. Manufacturer API capability does not automatically prove equivalent behaviour in every integration tool.

Worked example: a complete callback request
Capture. A customer calls about a delayed delivery. She supplies an order number and asks for an afternoon callback on a different number from the incoming line. The assistant confirms the alternative number and records the delay as a caller statement unless a permitted system lookup verifies it.
Matching and creation. The integration looks up the appropriate contact and checks the order reference within its authorised scope. It creates a service task with the request, confirmed number, preferred availability and unresolved points. The status remains open; finishing the telephone call does not mean the callback has been completed.
Confirmation. The CRM returns a task identifier. The integration stores its relationship to the conversation and the assistant can accurately acknowledge intake. Whether a specific callback deadline can be promised also depends on the team's operating rules and capacity.
Second run with an unknown reference. On a second run, the order reference is unknown. The assistant must not silently substitute a similar number. It either asks a targeted clarification or creates a clearly marked review request, according to the approved process. The uncertainty remains visible to staff.

How do you tell technical retries from repeat callers?
Two different situations. Technical events can be delivered more than once, while customers can call again. These are different situations. Redelivering an event from the same conversation should not create the same task twice. A second call may contain new information and should not simply be discarded.
Technical duplicates. Use a stable conversation or event identifier for technical duplicate detection. Before repeating an action, check whether a destination identifier already exists. Where the result is uncertain, reconcile the state instead of blindly writing again.
Repeat callers. Business-level repetition needs another rule. A confirmed order or ticket reference can help link information. The same telephone number alone is insufficient because it may represent several people or requests. Ambiguous merges should go to review.
New information. Keep additional information visible when linking calls. A repeat caller may change availability or correct a critical detail. Appending the new verified information with its time is often more useful than overwriting the original request without a trace.

What happens when the CRM response is ambiguous?
Timeouts. A timeout does not necessarily mean the CRM saved nothing. The task may have been created while the response was lost. Creating another immediately can duplicate work. The process therefore needs a state between failed and confirmed.
A useful internal model for CRM delivery has five states:
- captured
- ready for delivery
- delivery in progress
- confirmed in CRM
- requires reconciliation
Specify which operations may be repeated and which first require checking destination state. Implementation depends on the search and identification features available.
Invalid fields. Invalid required fields need a different response from temporary unavailability. Do not retry a malformed record indefinitely. Expose the missing or invalid value to the responsible team. Apply the current API rules for access and usage restrictions rather than hard-coding assumptions from an old example.
Exception queue. The exception queue itself needs an owner. Even if the queue reliably retains requests, they can remain unprocessed if nobody reviews them. Measure the age of pending items and agree when they need attention.
08 / 13
When is a callback deadline a real commitment?
A due date in the CRM is not automatically a promise the organisation can keep. Distinguish the caller's preferred time, internal scheduling and an explicitly agreed deadline. They may be related, but should not be treated as identical.
If the team works restricted hours, task rules need to account for closed days and holidays. Several European locations may have different schedules, time zones and owners. A central assistant should select the correct unit from the call route or confirmed information.
Specify who sees overdue work and arranges cover. Without that rule, automation merely moves the workload into a longer list. Review actual completion rather than only successful technical delivery.
09 / 13
Which permissions and how much data does the integration need?
A callback integration needs the reading and writing capabilities required for that task. Ask for justification of broad permissions. Restrict available actions technically rather than relying entirely on conversation instructions.
Do not store full transcripts by default when a factual summary is enough. Callers may volunteer sensitive information; it should not automatically spread into every note, email and notification. The privacy guide explains assessment of the separate data objects.
Test access as an ordinary case handler and as an administrator. Maintaining a connection does not automatically require reading every customer request. Document what happens when staff leave or credentials expire.
10 / 13
Which acceptance tests cover data quality and usability?
The acceptance set for a CRM-connected phone assistant should include these cases:
- a new contact
- an existing unique contact
- multiple matches
- an invalid reference
- a corrected number
- a missing required field
- repeated technical delivery
- a second call containing new information
Define the intended destination record for each case.
Then interrupt the CRM connection and simulate an uncertain response in a suitable test environment. Check whether the exception is visible and can be resolved without duplicate creation. Use synthetic records and avoid triggering genuine customer workflows.
Ask staff to process the resulting tasks without a verbal explanation of the calls. Can they identify the contact, request, uncertainty and next action? This practical review complements API testing and reveals whether the connection actually reduces work.
Check findability as well: staff should be able to find the record again through the confirmed reference and the contact. A correctly stored record that can only be reached through a technical identifier can still get lost in day-to-day work.
11 / 13
What should the agreement document about support and scope?
Agree the mapping, authorised actions, owner rules, failure reporting, retry behaviour and maintenance responsibility. Record the CRM version, authentication arrangement and connector configuration tested. If the agreement only says “CRM integrated”, you still lack answers to too many important questions about the work.
Measure complete tasks, incorrect associations, duplicates, pending deliveries and callbacks completed, with clear denominators. The goal is a reliably handled customer request; creating large numbers of records is not itself success.
Start implementation with one concrete work item and the screen where staff will handle it. Work backwards from that result to design the conversation, fields and technical connection.
