This guide covers selection, configuration planning and acceptance. The manufacturer documentation was checked on 26 September 2026. The configurations and test cases below are proposed examples, not a claim that modernagents has performed a reference installation on your combination of products.
Key takeaways
The main points for planning an AI phone assistant integration with 3CX are:
- There are two approaches: 3CX's native AI agents and an external assistant reached through an agreed telephone connection.
- According to the manufacturer documentation checked on 26 September 2026, the 3CX AI agent guide specifies the AI Edition and documents OpenAI and xAI Grok from Update 10, with one active provider at a time; check these conditions against the installed system.
- Start with a limited assignment, such as collecting service requests and routing to two departments.
- A passed acceptance test supports the specific combination tested, not every 3CX installation.

What should you document about the existing 3CX system?
Record the exact version and update level, edition, hosting arrangement, SIP trunk provider, public numbers and existing answering flow. Show the extensions, ring groups and queues used during business hours, when busy and after closing. This prevents a new AI rule from silently replacing an exception that already matters to the business.
Record ownership as well. Who administers 3CX? Who can change the trunk? Who controls operating hours? Who supports the AI service? Hosted and partner-managed installations may divide those responsibilities. An incident still needs a clear first contact and a coordinated response.
Preserve the previous routing plan and relevant configuration before changing it. You need an identifiable state to restore if an important route fails after the change. Recovery should not depend on someone reconstructing the earlier setup from memory.

Native 3CX AI agent or external assistant: what differs?
The current 3CX AI agent guide specifies the AI Edition. It documents OpenAI and xAI Grok from Update 10, with one active provider at a time. Check these conditions against the installed system; an existing 3CX licence does not by itself establish that the required features are available.
An external assistant instead uses a call path agreed by the participating suppliers. The destination may be a telephone number or an explicitly supported SIP connection. The actual combination must confirm which method is supported. A generic statement that a service “supports SIP” is not proof of complete interoperability.
The table compares a native 3CX AI agent with an external assistant by administration, prerequisites, responsibility, business integrations and cost assessment.
| Decision | Native 3CX agent | External assistant |
|---|---|---|
| Administration | Within the relevant 3CX AI functions | Additional product and administration |
| Prerequisites | Suitable edition, update and AI provider | Supported inbound route and verified return transfer |
| Responsibility | Telephone system plus AI service | Telephone system, carrier and external platform |
| Business integrations | Demonstrated documented functions | Verified destination-system connection |
| Cost assessment | Licence, provider usage and operation | Product, call routing, usage and integration |
Selection rule. Choose according to the task you need to complete. A simple receptionist differs from an assistant querying several business systems. More technical complexity is not automatically better; demonstrated functions and clear operational responsibility matter more.
03 / 13
Which role is needed: receptionist, personal assistant or customer service?
A receptionist identifies requests and routes callers appropriately. A personal assistant acts for a particular user. A customer-service agent additionally needs approved knowledge and a defined response to unresolved questions. Avoid mixing these purposes into one vague assignment.
The 3CX customer-service agent guide distinguishes a general human handoff destination from topic-specific escalation. Reflect that in the business design: an unrecognised request needs a general recipient, while a clearly identified specialist topic may go to a particular queue.
Transcription is another function again. Converting speech into text does not mean the system autonomously answers calls or books appointments. When a stakeholder asks for “3CX AI”, establish which of these capabilities they actually expect before choosing a configuration.
04 / 13
How should the full inbound call chain be described?
Map the route. Follow the call from the public number to its final outcome. A synthetic flow might be: main number, opening-hours check, AI on overflow, service queue when a person is requested, and callback capture when no one answers. Identify which application makes each decision.
Keep opening-hours information consistent. Existing 3CX IVR and call-management functions remain part of that flow. If business hours are maintained there, avoid contradictory copies in the assistant's knowledge. The spoken explanation should match the route actually applied to the call.
Prevent transfer loops. With external assistants, check whether a return transfer reaches the same main number. Otherwise, the call may be sent straight back to the AI. Use a designated destination with an explicit fallback and document how loops are prevented.
First answer or overflow. Also decide whether the assistant always answers first or only receives unanswered calls. Those arrangements produce different caller experiences and different expectations for staff. An overflow assistant should not describe itself as having immediate access to a team that has already failed to answer.
05 / 13
What belongs in a bounded first 3CX configuration?
Limited assignment. Start with a limited assignment, such as collecting service requests and routing to two departments. Define identity, language, greeting and permitted topics. Attach only the knowledge needed for that role.
Native option. For the native option, follow the current manufacturer instructions and record the extension, incoming numbers, department association and destinations. API credentials belong in protected configuration fields, not knowledge documents or conversation instructions.
External option. For an external option, document the integration boundary. Which service receives the audio? Who initiates the return transfer? Which metadata survives? Who receives a failure event? Obtain those answers before changing the main production route.
Connector scope. Do not treat a connector's name as the full specification. Ask which operations it supports and which are excluded. Reading a contact, writing a note and creating an assigned callback task are different actions with different evidence requirements.

Worked example: overflow for two departments
Synthetic reference design: A business has sales and technical service. During opening hours, calls first reach the existing service queue. At the business's chosen overflow condition, the assistant takes over. It may collect callbacks, give approved service hours and transfer to authorised destinations.
A caller reports a fault associated with an existing order. The assistant asks for a reference and confirms a callback number. It attempts the designated handover. If no one answers, it creates a “callback pending” task owned by service and records the connection attempt's result.
Outside office hours, it explains the next staffed period if that information is approved and current. It does not claim that someone will respond immediately. A report covered by a professionally approved urgent route follows that separate path; the assistant should not improvise the decision from the isolated word “urgent”.
The example deliberately excludes price approval, contract changes and unverified booking. This allows the telephone route and handover to be accepted before more consequential actions are introduced. The scope is small enough that every ending can be described in advance.
Got a workflow like this?
Tell me about it. Honest take and a rough price, usually within a day.
07 / 13
Why accept caller ID and context separately?
Caller ID. Check the number shown to the assistant and to the human recipient. Forwarding behaviour can differ by telephone path. Test fixed-line, mobile and withheld caller ID. A number visible in a test is still not a general identity credential.
Context timing. Context may arrive through a summary, CRM event or another supported channel. Timing and association matter. An email delivered after the conversation supports documentation, but does not necessarily help the employee during the transfer.
Recipient view. Ask the supplier to show how the recipient sees the request, confirmed facts and unresolved questions. A conversation identifier is of little use if the employee cannot open the related record. Conversely, a summary should not distribute unnecessary confidential information to every device receiving the call.
Ambiguous matches. Test a caller associated with more than one contact or organisation. The assistant should not confidently open the wrong record merely because the telephone number appears somewhere in the CRM. Ambiguous matching belongs in a review path.
08 / 13
What happens when the AI, the handover or the task write fails?
Three failure types. Distinguish an unavailable AI service, a working assistant with no reachable human destination, and a failed task write. These cases need different alternatives. One generic “please call later” message may hide a request that was collected but never stored.
Native fallback. The 3CX customer-service guide documents an option for an unavailable AI engine. Inspect the corresponding settings in your installed version and test the actual route. A configurable fallback is not evidence that the chosen destination remains reachable during your particular outage.
External service outage. For an external service, ask about timeouts and return of the call. If the entire external platform is unavailable, its own conversation logic cannot execute a fallback. A telephone route independent of that failed component should address that situation.
Uncertain task result. Where the task result is uncertain, preserve enough information for reconciliation. Retrying blindly can create duplicate records. Staff need to distinguish “not submitted”, “submitted with unknown result” and “confirmed in destination” so the next action is appropriate.
09 / 13
Which costs and data flows belong in the assessment?
Cost items. Separate the system licence, AI consumption, external product charges, telephone connections and ongoing support. Forwarded calls can involve cost items that do not occur with direct answering. Obtain the billing model and ask for a worked calculation matching your proposed route.
Data path. Draw the data path as well: telephony, audio processing, recognition, knowledge, logs and connected business applications. Operating the PBX locally does not automatically mean AI processing is local. Review services, access and retention for every participating component.
Recording. Recording should be deliberate. A callback workflow may need different data from a quality-review programme. Configure the system for the actual use that has been legally and operationally approved. A general compliance statement is not an adequate technical specification.
Usage limits. Assign responsibility for provider usage limits too. If a spending cap stops the AI, the telephone route must still behave as planned. A cost control and an availability control need to be designed together rather than discovered independently during a busy day.
10 / 13
Which acceptance cases should a 3CX AI integration pass?
The acceptance set for a 3CX AI integration should cover these cases:
- ordinary answering
- both departmental destinations
- busy and no answer
- a closed department
- an unknown request
- withheld caller ID
- concurrent calls
- AI-service failure and destination-application failure
Inspect both the conversation and the resulting record.
Evidence. Record versions, numbers, schedules, expected outcomes and observed deviations. A passed test supports the specific combination tested, not every 3CX installation. Have the telephone administrator and the staff receiving the tasks assess the same evidence.
Retesting after updates. Identify who repeats testing after an update. Model and knowledge changes can alter the business outcome even when the SIP trunk remains unchanged. The native AI documentation warns of changes to knowledge associations and voice defaults when switching provider; treat such a switch as a configuration and acceptance task.
Size of the test set. Keep the test set small enough to repeat and broad enough to cover important endings. Routine success calls alone are insufficient. Failures, ambiguous requests and recovery are where responsibility gaps are most likely to appear.
11 / 13
What documentation should a proposal contain before release?
A reviewable proposal identifies the exact configuration, supported tasks, handover destinations, failure handling, cost assumptions and responsible parties. Include a documented return to the previous route. A generic promise of “3CX integration” leaves important operational questions unanswered.
Bring the current call-flow diagram, installed version and three typical call types to the planning discussion. Those inputs help determine whether native 3CX functions, an external assistant or a combination covers the required task most clearly. The appropriate solution is one whose behaviour can be demonstrated on your actual telephone route.
