Key takeaways
Compared on the same concrete workflow, the main points for choosing between n8n, Zapier, Make and Power Automate are:
- Power Automate is a sensible first candidate when a company mainly uses Microsoft 365 and already has Power Platform owners.
- Make may fit a small team that connects common public applications in a bounded process, if its modules, permissions and consumption model meet the requirements.
- Zapier is a candidate when the required triggers and actions are available and the team wants a hosted workflow.
- n8n may fit an API-heavy process with custom transformations and approved access to private services, particularly where self-hosting responsibility already exists.
- These are starting points, not exclusive product categories: measure every candidate against mandatory requirements.

n8n vs Zapier vs Make vs Power Automate: practical differences
The table compares n8n, Zapier, Make and Power Automate by delivery model, billing question and first fit check.
| Platform | Delivery model | Billing question | First fit check |
|---|---|---|---|
| n8n | Cloud or self-hosted | Executions and required edition | Do nodes, API access and operating skills cover the process? |
| Zapier | Hosted automation | Successful billable tasks and any separate product allowance | Do the exact triggers and actions fit the team's applications? |
| Make | Hosted scenarios | Credits, module behaviour and any AI consumption | Can the team follow bundles, branches and exception handling? |
| Power Automate | Microsoft cloud and desktop scenarios | User or process licensing, connectors and execution mode | Does the workflow fit the Microsoft environment and identities? |
Sources and status. This is a selection guide, not an independent performance benchmark. Sources checked on 26–27 September 2026 include the n8n deployment guide, Zapier task rules, Make plans and Power Automate licence types. Confirm the intended edition, account and current terms before buying.

n8n versus Zapier: compare the actual job
Shortlist criteria. Shortlist Zapier when the needed application actions are supported and a hosted workflow is appropriate. Shortlist n8n when its nodes, custom API work or deployment options meet a requirement that matters to your organisation. These are selection hypotheses, not a claim that one product is always easier or cheaper.
Same outcome in both candidates. For example, a sales enquiry may require contact lookup, an owned task and an acknowledgement. Build the same authorised outcome in both candidates. Then introduce two similar contacts and a destination timeout. Compare which parts the operator can inspect and repair without duplicating the task. Include the licences needed for team access, not only a single builder's account.
Paths and task rules. Zapier documents branching through Paths, so describing it as limited to linear workflows would be misleading. Its task rules also distinguish triggers, Filters and Paths from successful billable actions. Do not estimate consumption by counting every visible box. If the workflow uses AI, code or another Zapier product, inspect that product's charging rules separately. Zapier task accounting.
n8n versus Make and n8n versus Power Automate
For n8n versus Make, the equivalent question is how the same source data moves through nodes or modules, including bundles and repeated processing. For n8n versus Power Automate, give particular attention to Microsoft identities, connector entitlements, approval ownership and the account under which work continues when a member of staff leaves. Existing Microsoft 365 use does not by itself establish the required Power Automate licence.

Why start with a process rather than a favourite platform?
Comparison case. Describe the process without product names. A useful comparison case might be: “When an approved form arrives, match the person to a CRM contact, create a task and store its attachment in the intended folder.” Define what happens when required data is missing, several contacts match or the destination is unavailable.
Authoritative application. Identify the authoritative application for each field. The CRM may provide the contact ID while the document system determines the storage location. Automation should not accidentally reverse those responsibilities simply because one module makes a particular write convenient.
Observable results. Specify observable results: exactly one task per enquiry, an attachment that can be located reliably, and a visible clarification queue. This makes the comparison testable. Interface preferences remain relevant, but they cannot replace business acceptance.
Representative data. Use representative data from the process after removing sensitive information or replacing it with synthetic equivalents. A demonstration assembled around each platform's easiest example is not a fair comparison of your actual requirements.

Why is connector availability only the first check?
Operation, not just integration. A platform can list an integration without supporting the operation you need. Establish whether contacts can be read and updated, custom fields are available and attachments can reach the correct library. The supported authentication method must also fit your organisation's policies.
Documentation per connection. For every connection, document the required action or endpoint, permissions, API version, plan prerequisites and known limits. Mark gaps explicitly. A missing standard operation might be implemented through a documented HTTP API, but that introduces additional development and maintenance responsibility.
Logos are not proof. Do not treat integration logos as proof. A logo does not answer questions about a shared mailbox or a company-specific ERP extension. In European businesses, one of these details can determine the effort required for the entire project.
Exact resource and operation. Ask the supplier to demonstrate the exact resource and operation. Reading a personal mailbox does not demonstrate access to the shared mailbox that handles real customer work. Listing a document library does not prove the ability to upload files with your required metadata.

How do you evaluate usability against your own data model?
Who maintains it. Make presents visual scenarios, n8n connects nodes, and Power Automate uses flows and connector actions. Which approach is easier depends partly on the people who will maintain it. Ask the actual maintainers to explain and modify a small section.
Usability test. A useful usability test introduces a business change: another required field, a different assignment rule or an additional exception that must become visible. Do not measure only how fast an expert performs the change. Check whether a new owner understands the consequences for existing records.
Lists and branches. Lists and branches are particularly revealing. If one enquiry contains three attachments, should the result be three files, three CRM tasks, or one task with three links? Similar-looking diagrams can produce different results depending on how individual data items are processed. Include this case rather than testing only one record without attachments.
Diagnostics. Also examine diagnostic usability. Can the maintainer trace one case from its input to the final destination reference? Can they distinguish an intentionally rejected record from an accidental omission? These questions often matter more after launch than the initial speed of assembling nodes.

Which platform is cheaper?
Different billing units. Comparing subscription figures directly can be misleading. n8n charges paid plans by workflow executions; Zapier uses tasks with product-specific exceptions; Make uses credits; Power Automate has user and process licensing with capability requirements. Consult n8n pricing, Zapier plans, Make credit rules and Microsoft offers.
Synthetic conversion example. Translate the same demand into each supplier's unit. In a synthetic example, 2,000 cases each run one complete n8n workflow, giving 2,000 starts before additional workflows and retries. If the Zapier version executes four standard billable actions for every case, it uses 8,000 tasks under that assumption. A four-module Make design cannot automatically inherit that count: validate input bundles, polling and the credits consumed by each module. For Power Automate, identify the required licences and limits before attaching a price to the same workload. No monetary winner follows from these different unit counts.
Equivalent assumptions. Add equivalent assumptions for retries, polling without new data, large files, AI usage, development environments and required team features. Measured pilot consumption should validate the conversion. A highly branched workflow may behave differently from a simple linear process.
Billing interval and region. Record the billing interval and checkout region. An annual commitment expressed as a monthly equivalent is not the same purchase decision as a cancellable monthly subscription. Keep taxes and currency conversion consistent when comparing quotes.
Got a workflow like this?
Tell me about it. Honest take and a rough price, usually within a day.

How can total cost reverse the apparent ranking?
Invented offers A and B. Consider invented offers for the same bounded process. Offer A has a €40 platform charge and four hours of monthly maintenance. Offer B costs €120 and needs one hour. At an assumed internal rate of €60 per hour, their recurring totals become €280 and €180. The higher subscription would be more economical in this example.
Third offer. A third offer with €20 server costs initially looks cheapest. If it excludes backup, update testing, incident coverage and workflow maintenance, it is not yet comparable. Add those services before deciding. These figures are illustrative arithmetic, not market prices or measured differences between products.
Implementation and switching. Include initial implementation and future switching costs. An already experienced internal team may operate one platform much more economically than a newly recruited team. That reflects your starting position, not a universal property of the product.
Range. Where the result depends on uncertain maintenance effort, calculate a range. If one option only wins when no incidents occur, the decision may be fragile. Identify the assumption that would change the outcome and validate it during the pilot.

Which failure cases should you test on every platform?
Use at least these five failure cases:
- invalid input
- missing permission
- temporary destination failure
- a lost response after a successful write
- duplicate delivery of the same input
Define the correct outcome before the test begins.
Lost response. The lost-response case is particularly important. The target may have created an order even though the platform reports a timeout. Establish how recovery avoids another order. Automatic retry is useful only when its business consequences are controlled.
Pending cases. Assess whether the business team can find and resolve pending cases. A precise developer error message is valuable, but an invisible backlog remains an operating problem. Demonstrate alert delivery and absence cover too.
Observed behaviour. The outcome should identify the actual behaviour observed. Avoid claims such as “more reliable” based on one successful example. Record which cases passed, which failed and which were not tested.

Which platform fits which case? Four plausible selection scenarios
A Microsoft-centred approval process: A company mainly uses Microsoft 365 and already has Power Platform owners. Power Automate is a sensible first candidate. Still verify licensing, access to shared resources and required external applications. Existing Microsoft subscriptions do not automatically include every planned capability.
A departmental SaaS process: A small team connects common public applications in a bounded process. Make may fit if its modules, permissions and consumption model meet the requirements. Include later maintenance and unusual input records in the pilot. A fast initial build does not settle the operating question.
A team connecting established SaaS applications: Zapier is a candidate when the required triggers and actions are available and the team wants a hosted workflow. Test the actual record associations, branches, recovery and task usage. Confirm the features needed by all operators rather than choosing from a single-user demonstration.
An API-heavy process with an internal operating team: A company needs custom transformations and approved access to private services. n8n may fit, particularly where self-hosting responsibility already exists. Check the required edition and keep custom logic understandable to future maintainers.
These are starting points, not exclusive product categories. Measure every candidate against mandatory requirements. One unavailable approved connection can matter more than ten minor convenience advantages.

How do you use a decision matrix without false precision?
Exclusion criteria and preferences. Separate exclusion criteria from preferences. Missing authorised data access is an exclusion criterion; a more pleasant interface is a preference. Do not combine them into a score that hides an unmet mandatory condition.
Weights and scores. For remaining candidates, weight usability, operation, change effort and cost according to your organisation's needs. Score only documented pilot observations and mark untested points. “Unknown” must not automatically receive the same score as “satisfied.”
Evidence. Attach evidence to each assessment: an executed acceptance case, a screenshot without sensitive data, current contractual information or a clearly stated open question. This lets the organisation revisit the decision without repeating the entire selection process.
Final review. A useful final review includes someone who will operate the process and someone who owns its business outcome. Their concerns may differ from those of the developer who built the demonstration.
11 / 13
Why establish portability and handover before purchase?
Export is not migration. An exportable workflow is helpful, but it does not promise lossless migration between products. Rules, state, connections and billing units differ. Document business logic, data mappings and acceptance cases outside the editor.
Ownership and takeover. Confirm that your organisation owns the relevant accounts, identifies who approves changes and can arrange another supplier's takeover. Require an export, a readable operating guide and a reproducible outcome comparison. These deliverables remain useful regardless of the chosen platform.
Decision statement. The final decision should justify one statement: “We selected this platform because it meets our verified mandatory requirements and our team can operate the process at a defensible total cost.” That evidence lasts longer than a general claim about which automation product is best in 2026.
12 / 13
How do you run a fair selection exercise?
Same cases for every candidate. Use the same approved test cases and source data for every candidate. Ask the responsible user to handle a normal run, incomplete input, a duplicate case and an unavailable destination. Record actual handling effort, how understandable the error is and the route back to a correct outcome. Three demonstrations prepared to different standards would make a weak comparison.
Assumptions and confirmed limitations. Separate unresolved product questions from the tester’s unfamiliarity. A feature that has not yet been configured is a different finding from a documented plan restriction. Keep assumptions and confirmed limitations in separate columns. Base the decision on the capabilities needed and the people available to operate them.
