The best AI receptionist for a small business is the one that completes its common call types and passes difficult cases to people through a usable process. Compare concrete outcomes: answered questions, complete callback tasks, confirmed appointments and accepted handovers. A natural voice or a long integration list is insufficient for selection.

This comparison combines DACH-oriented product options with a documented UK offering and a selection method for European buyers. Sources were checked on 26–27 September 2026. It does not establish availability in every European country. No independent product trial was conducted; there is no test winner, guaranteed success rate or claim to cover the entire market.

Key takeaways

The main points for comparing AI receptionists for a small business are:

  • This comparison documents itellicoAI, the IONOS AI Receptionist UK offer, sipgate sona and native 3CX AI agents; the order is not a performance ranking.
  • Set mandatory criteria before scoring and give every supplier the same test conversations.
  • Compare prices for equivalent work: base charge, minutes, overage, concurrency, telephony, implementation and ongoing support.

How do you describe your requirement in three sentences?

Callers and outcome. State who calls, what they want and what should exist after the conversation. A trades business may need a correctly assigned enquiry with a service address. A medical practice needs administrative handling within professionally approved boundaries. A hotel must distinguish an enquiry from a confirmed reservation.

Permitted scope. Then specify what the assistant may complete. Giving information, recording a request and executing a transaction are different services. If one supplier sends an email and another writes a confirmed booking, they are not delivering the same task even if both advertise appointment scheduling.

Human alternative. Finally, describe the human alternative: which person or queue takes exceptions, during which hours, and what happens if nobody answers? A product can support that organisation but cannot replace missing internal responsibility.

Which AI receptionist products are listed for evaluation?

The table lists four AI receptionist offerings with their documented starting point and the point that needs particular verification. This is a documented shortlist, not a product-by-product performance comparison.

Offering Documented starting point Particular verification
itellicoAI Call answering, information, appointment intake and request delivery Agree direct booking and exact business-system actions separately
IONOS AI Receptionist, UK offer AI call answering marketed on the UK product site Verify the actual UK number or forwarding route, included actions and terms; do not extrapolate availability to other countries
sipgate sona AI agent with tiered plans and integration capabilities Plan entitlement, concurrency and actual call route
Native 3CX AI agents AI functions within the relevant 3CX edition Installed edition, update, provider and agent role

itellicoAI's product description scopes direct calendar booking to a customer integration. The sona pricing page shows differences between plan entitlements. The 3CX AI guide specifies technical prerequisites. These are descriptions of offered functions, not evidence of performance in your business.

IONOS publishes a dedicated UK AI Receptionist offer, checked on 27 September 2026. It is a relevant product to investigate for UK call handling, not evidence that the same plan or local-number route works in Ireland, the Netherlands or another market. Ask for the exact number, forwarding, transfer and booking configuration in the proposed account.

itellicoAI remains first in this selection; order is not a performance ranking. Its phone-assistant page, rechecked on 27 September, describes a DACH-oriented offer. Confirm any additional market explicitly. For sipgate sona and 3CX, likewise distinguish a documented product capability from the actual country, carrier and edition available to the customer.

The selection is deliberately small. Other products may be appropriate, particularly where an industry platform is already in use. Add a supplier where an important requirement justifies the evaluation. A longer list without comparable evidence adds little to the decision.

03 / 14

Which of four operating profiles fits your business?

Simple callbacks. For a small business collecting simple callbacks, understandable configuration, complete task capture and predictable monthly effort matter. A complex platform with many interfaces may be unnecessary if nobody will operate those features.

Established PBX. For an organisation with an established PBX, call routing, return transfer and recovery take priority. A native option may fit existing administration, while an external platform may offer additional actions. Test both through the same calls.

Transactional workflows. For transactional workflows such as booking or status lookup, identity, permissions, current system state and error handling are central. The required integration is part of the product being purchased, not an unspecified later project.

Sensitive sectors. For sensitive sectors, data processing and professional boundaries need further assessment. An administrative practice receptionist is not a clinical triage system. A general compliance statement does not approve the specific use.

04 / 14

Which mandatory criteria come before scoring?

Some requirements should not be offset by a pleasant voice or low price. A usable telephone route, appropriate processing arrangement, reachable fallback and required integration may be essential. A high overall score is of little value when one of those conditions is missing.

Define exclusion criteria before demonstrations. Examples could include an unavailable Swiss numbering arrangement, no support for a required calendar operation or unresolved use of sensitive data. Include only requirements that are genuinely necessary for the organisation.

A requirement may remain unknown rather than fail. Mark it as unresolved and identify the evidence needed. “Not documented” means neither “absent” nor “satisfied”. This intermediate category helps avoid both unsupported promises and unfair conclusions about suppliers.

05 / 14

How do you weight and evidence the assessment?

Synthetic weighting for a service business: the table shows a proposed allocation of weights across five assessment dimensions.

Dimension Weight
Task quality 35 percent
Handover and failure handling 25 percent
Integration 20 percent
Administration 10 percent
Total cost 10 percent

This is a proposed allocation, not an industry standard; adjust it to the consequences and workload in your process.

Assess each dimension through predefined observations. A strong task-quality result might mean all required fields are correct and staff can proceed without another basic-information call. Handover should measure whether a person or an owned task actually receives the request.

Keep a short reason and evidence reference beside each score. “Integration 4/5” is less useful than “creates an owned task successfully; existing-record changes not yet tested”. This makes the assessment understandable after the demonstration.

Avoid false precision. A decimal score does not make a subjective judgement objective. Where two suppliers are close, the unresolved risks and quality of the implementation proposal may matter more than a tiny numerical difference.

06 / 14

Why give every supplier the same test conversations?

Shared test set. Create a small anonymised or synthetic set containing ordinary cases, corrections, interruptions, out-of-scope requests and technical failures. Give each supplier the same business information and authorised actions.

Typical contents. A common set might include a practical question, callback intake, appointment change, request for a person, language switch and unavailable destination application. Adapt the tasks to your sector. A supplier's prepared demonstration can be additional evidence, but should not replace the comparable set.

Check the records. Inspect destination records. “Appointment booked” is successful only when the correct appointment exists. Exported results help compare fields, ownership and duplicate actions without relying entirely on memory of the spoken interaction.

Test conditions. Keep test conditions visible. A browser demo in a quiet office and a mobile call over a forwarded public number are different conditions. If suppliers use different routes, record the difference and avoid treating it as an unexplained product-performance result.

Worked example of an informative comparison

Synthetic case: A business evaluates two services for inbound enquiries. Both understand the caller and sound friendly. Offer A creates an unassigned message. Offer B creates a task with a confirmed callback number, order reference and service owner.

On the second test, the CRM is unavailable. A continues to say the request has been passed on. B explains the limited situation and records the work in a monitored exception process. Under this requirement, B has stronger task evidence even if A has the preferred voice. This illustrates evaluation logic; it is not an actual verdict on any named product.

On the third test, the human destination is busy. Both offers should execute the same agreed alternative. The test shows whether “transfer” describes a complete service outcome or only the first technical connection attempt.

The comparison should also record extra staff effort. If one product needs several minutes of manual repair for each enquiry, that belongs in both operational scoring and total cost. It should not be hidden behind a high number of calls answered.

Which integration operations should suppliers demonstrate?

Separate operations. For CRM and calendars, ask more than the system name. Demonstrate contact lookup, task ownership, appointment creation, appointment change and result verification separately. They have different permission requirements and failure rules.

Ambiguous cases. Include ambiguous cases. One number may match several contacts. An empty calendar interval is not a reservation. Repeated technical delivery must not automatically create a second task or booking. These checks reveal more than a single successful standard request.

Integration owner. Agree the integration owner. Who responds when the destination changes authentication or API behaviour? Who sees failed deliveries? Who reconciles an uncertain booking? Without answers, the integration has only been described for the moment of the demonstration.

Standard or project work. Distinguish standard support from project work. A supplier may support a particular application generally while charging separately for your custom field mapping, approval workflow or record type. Make the exact included actions part of the proposal.

09 / 14

How do you verify European numbers, languages and time zones?

Regional speech. Regional speech, names and place names matter in Austria and Switzerland. Use your own speakers under realistic telephone conditions. A language code or locally accented voice does not prove perfect recognition of every regional variant.

Number and routing. Separately test number provision, forwarding, caller ID and transfer back to staff. An Austrian or Swiss business may need a different route from a German demonstration. Multiple sites with different opening hours also belong in the acceptance set.

Time zones. For a UK office serving customers in continental Europe, specify the office's opening-hours time zone and the customer's appointment time zone. Test daylight-saving transitions, a caller who gives an ambiguous local time and a transfer outside staffed hours. The assistant should confirm the actual date and time zone before reporting a booking as complete.

Same rules in every language. Multilingual handling must preserve the same business rules. Switching to English should not change cancellation terms or enable an otherwise prohibited booking. Repeat consequential cases in the languages the service actually needs. A product supporting English speech is not, by itself, proof of local-number provision, portability or human support in that country.

10 / 14

How do you compare prices for equivalent work?

Include base charge, minutes, overage, concurrency, telephony, implementation and ongoing support. Record tax treatment and commitment. A low software subscription is not a full price for an integrated operational service.

Use the AI phone assistant cost guide for dated tariff examples and synthetic calculations. During selection, also establish which exact configuration is included in the quoted amount.

Check whether free allowances are one-off or recurring and which features they include. A no-obligation trial can be helpful, but says little about the complete cost of a production year. Model ordinary and busy periods and the human work remaining after automation.

11 / 14

What makes privacy and supplier exit concrete?

Request an inventory of data and participating services: audio, transcript, summary, logs and destination records. Ask about purpose, access, retention, subprocessors and possible supplier uses. The privacy assessment guide explains this review in more detail.

For an eventual change of supplier, clarify rights to the telephone number, knowledge and configuration. Test exports and review cancellation conditions before the whole answering service depends on one platform. A file only the current supplier can interpret is not necessarily a practically usable export.

During evaluation, delete a synthetic record and ask how related copies are handled. This turns a general deletion promise into a reviewable procedure. The actual legal assessment remains with the responsible qualified people.

12 / 14

What belongs in the decision record?

Keep requirements, evidence, unresolved points, costs and the approved scope together. Distinguish functions actually tested from those known only through manufacturer statements. People who missed the demonstration should still understand the decision.

Select the proposal that covers the necessary tasks and alternatives most clearly. Require a concrete configuration and joint acceptance before production approval. This gives a more useful answer to “which assistant is best for our business?” than an undifferentiated ranked list.
