For hotels
Your direct channel is your most expensive. It may now be your cheapest.
Around 44 percent of an independent hotel's bookings arrive by phone, email and contact form, each processed into an offer by hand (HOTREC distribution study). Since Booking.com's gatekeeper designation banned rate-parity clauses in November 2024, your own website may legally undercut the portal, everywhere. The direct channel finally pays, if the inquiry pipeline stops eating staff time that just became 8.4 percent more expensive.

The gap
The booking engine carries 12 percent. The other 44 are handled by hand.
Channel managers and booking engines cover the real-time pipeline, 11.9 percent of an independent hotel's nights. Phone, email and contact form carry around 44 percent, and no dominant product on the market writes that offer end-to-end today. That is what we build, in your house's tone, with a person approving.
Inquiry to offer, drafted
Email, form and phone inquiries are structured, checked against availability and pricing logic, and presented as a finished offer draft in the house's tone. A person approves before it goes out. That is the 44-percent pipeline, and every booking it wins back for your own channel saves the portal commission on top.
Review replies as a routine
For 68 percent of online bookers, other travelers' reviews are decisive (Bitkom). Draft replies per review, in the house's tone, ready for sign-off, turn a postponed duty into a ten-minute routine.
No-show and cancellation sequences
42 percent of Booking.com booking volume gets cancelled, against 18 percent for direct bookings (D-EDGE). Automated confirmation and reminder sequences with deposit logic reduce both no-shows and cancellations, and they are one more argument for the direct channel.
The phone pipeline
In restaurants, AI reservation assistants are already product-ready and self-serve; hotels are next. Phone inquiries are captured and structured instead of scribbled on a pad, and with the reservation platform Quandoo announced to shut down by the end of 2026, thousands of businesses have to rethink their phone and reservation stack anyway.
Guardrails
Built in from the start, not bolted on after
None of this is a hurdle if built in from the start; all of it becomes a trap if the vendor stays silent about it. These four points are part of every proposal we write.
AI that says it is AI
From 2 August 2026, the disclosure duty of Art. 50 EU AI Act applies: chat and voice assistants must identify themselves as AI at the latest at first interaction. We build the disclosure in from day one instead of retrofitting it.
Call recording only with consent
Recording guest calls requires consent in Germany. Consent and its documentation are part of the call flow we design, not an afterthought a lawyer finds later.
A data processing agreement, EU processing
The AI provider is bound by a data processing agreement with processing in the EU, and guest data trains no models. What flows through the system stays your house's asset.
Registration forms, the digital way
Since 2025, Germany has abolished the registration form for domestic guests; foreign guests still sign, and the law explicitly provides a digital path for that. In Austria the electronic guest register is permitted, with seven years of retention. The check-in paper stack is already settled in law; we make it disappear operationally.

One process at a time, live in your daily business in 2 to 4 weeks, with your team trained and a sign-off step wherever client data leaves a draft.
Fair questions
What hotels ask us first
Does this replace staff?
No, and the industry's problem has flipped anyway: the employment agencies report a post-Corona low of open hospitality positions, and per DEHOGA 85.4 percent of businesses name personnel costs as their top worry, with labor costs up 39.6 percent against 2019. This is not about replacing people you cannot find. It is about affording your service level with the team you have.
We already run a booking engine and a channel manager. Does this replace them?
No. They keep carrying the real-time pipeline. We automate the manual pipeline in front of them: the phone, email and form inquiries that make up around 44 percent of an independent hotel's bookings and that no dominant product turns into finished offers end-to-end today.
May we really be cheaper on our own website than on Booking.com?
Yes, since November 2024. With Booking.com's gatekeeper status under the Digital Markets Act, rate-parity clauses are banned EU-wide. At base commissions of 12 to 15 percent, often effectively 22 to 28 percent once the Preferred program and Genius discounts are added, every booking that moves to your own channel is worth real money, provided answering it costs minutes, not hours.
What about the AI Act and recorded calls?
From 2 August 2026, assistants must disclose that they are AI under Art. 50 EU AI Act; recording calls requires consent in Germany; and the AI provider belongs under a data processing agreement with EU processing. We build all three in from the start. A vendor who does not mention them is the actual risk.
What does it cost?
The audit starts at €2,500 and is credited in full against the implementation. Implementations are fixed-fee. For market context, we published what AI automation actually costs, with sources, on our blog. Read the article with all market prices.
